Match Mangers’ Tool Kit

  •  Dear Match Managers, 

    Thank you for taking on the role of Match Manager for a game or two in the forthcoming season. You have been chosen to hold this prestigious post as the Benevolent Board believes that you will be effective and reliable managers, leaders, and representatives of the Club. 

    The aim of this letter is to set out how to run a successful match and what the Board expects of you as Match Managers. Please read this letter carefully to avoid fixtures going awry. 

    You will see from the documents enclosed that we are currently missing a few scorers and umpires. Andy Littlechild (formerly Andy Lynch), the chief scorer, and Dick Ellis, Chief Umpire, are on the hunt for officials for these fixtures. As soon as I hear from Andy and/or Dick, I shall pass on the details of the officials to the relevant Match Managers. 

    I wish you the very best for the 2026 season. Play hard, but fair, and enjoy your cricket. The Club applauds your efforts.

  • Please make contact with the officials well in advance of the game and send them the details of the fixture. If you do not receive a response, chase them for confirmation. 

    If emailing the scorer for your game, please copy Andy Littlechild (andy.littlechild@btinternet.com) into the correspondence. 

    In respect of umpires, please copy Dick Ellis (richardellis060@gmail.com; 07890617335) into any email correspondence with your umpire. 

    Please also let the the umpires and scorers know, in good time if possible, if your game has been cancelled. 

  • Our groundsman at Torry Hill is Nigel Pullen (07508 010538). 

    Please contact Nigel a week in advance of the game to ensure that the ground will be ready for the game. 

    If there are weather concerns, please keep in regular contact with Nigel. 

  • Before the game, please tell the BB XI and the opposition the match fee for the game. 

    Fixtures at Torry Hill – the match fee is £35 per player. This covers the cost of preparing the ground, the player’s lunch and tea, and the player’s contribution to the umpires’ and 

    scorer’s lunch and tea. Please reassure members that the Board is looking into ways of reducing the match fee and endeavours to do so next season, but in this transitional year it has to be conservative with its finances and appreciates their support. 

    School matches – there is no match fee. 

    All other fixtures – check with the opposition hosting BB in advance of the fixture as to whether there is a match fee and how much that match fee is. 

    Match fees for juniors (under 18s) is half of the normal match fee. 

  • at Torry Hill is Pippa White (m. 07582 029612 pippa@pippawhitecatering.com ). Please make contact with Pippa well in advance of the game. 

    Pippa will default cater for 25 (i.e. 2 sides of 11 players, 2 Umpires & Scorer). If you know of any additional guests, please contact Pippa at least a week in advance to double check all the arrangements. 

    This year we shall only have lunch in the luncheon room. Lunch will be at 2pm. Pippa shall provide lunch and she will wash up after lunch has been served. 

    Pippa shall also provide you with two cakes for tea. 

    Tea will take place, time to be agreed by the captains and umpires on the day, in the pavilion. 

    On your way to the ground, please buy four pints of milk for tea. Please store the milk in the fridge in the tea room. Unless otherwise instructed, all other tea making and cake eating paraphernalia will be provided. 

    During the game, please fill the gas urn up with water and turn it on in advance of tea. Please also make sure you retrieve the milk from the fridge in the tearoom. 

    If the match is cancelled, please let Pippa know as far in advance as possible to avoid having to pay her for unwanted food. Let Brother Norwood-Hill know if she needs to be reimbursed for any unwanted food. 

    Please ensure that the opposition, their umpire and their scorer (if any) are also aware in advance about these catering arrangements. 

  • The Board requires that each Match Manager obtain the full names (including middle names) of all the players in a BB XI. A list of those playing in the fixture should be sent to the Chief, me, the other Match Managers prior to the game. 

    On arrival at the ground, please give the scorer the full names of the players in the BB XI and ask them to record the player’s initials (including middle initials) on the scorecard. 

  • For each game, you need a ball and the BB flag. 

    Unless otherwise informed, Brother Tom Boucher or I will provide you with a new match ball and the BB flag before the game. 

    On arrival at the ground, wherever that may be, please raise the flag. 

    There is one flag at Torry Hill and there are two "floaters". If you cannot locate a flag, please check with Alex Cornwallis as he will more than likely have one. 

  • Torry Hill Please collect from the BB XI and the opposition £770, in total (including your match fee). Please then pay: 

    - Pippa White - £500. 

    - The Club - £270. 

    Please ask Pippa and Brother Marcus Holden-Crauford for the relevant bank details. 

    Other fixtures – Please collect the match fee requested by the opposition from your XI and follow the opposition’s instructions as to payment. 

    You do not need to pay the umpire or the scorer. 

    If you have a junior or juniors playing in your XI, please charge them the junior match fee, and ask Brother Marcus Holden-Crauford for the remainder of the match fee to settle the bill. 

  • This section applies to those managing a match at Torry Hill. 

    After celebrating (or commiserating… hopefully not) the result, please marshal the troops and make sure that the following occurs prior to leaving Torry Hill: 

    - The changing rooms are tidy; 

    - The showers are tidy; 

    - The bathrooms (at the back of the pavilion) are tidy; 

    - The common room is tidy; 

    - There are no dirty crockery or cutlery, etc – if there are, please wash them up; 

    - All rubbish has been placed in bin bags; 

    - The stumps, bails, and benches and chairs have been stowed in the common room; 

    - Please empty the bins from the pavilion and place the bin bags in the large bins in the farmyard; 

    - The luncheon room has been tidied. 

  • Obtain a copy of the scorecard and send it to me as soon as possible after the game has finished. This is very important as the Club needs to ensure the integrity of the Club’s records! 

    It is a source of great pride for the Board and the Club that we have the oldest unbroken records of any cricket club in the world! If you have not seen the Club’s records, I would encourage you to do so by attending the BB Box at Canterbury or by contacting Brother James Ryeland, Keeper of the Books. The records are impressive. They are detailed and ornate. 

    As Match Managers, it is your responsibility to ensure that the tradition of accurate and detailed record keeping continues. 

    Please can you write a match report of your game and send it to Brother Tom Boucher within 2 weeks of your fixture. We have over 600 Members who greatly enjoy keeping abreast of our cricketing progress throughout the Season via the website, so it is vitally important we do not deprive them of your witty match reports and photos any longer than is necessary.
